Position: Patient Care Coordinator/Front Office Associate
Reports to: Supervisor, Manager, Physician Director
Job Summary: This position works with all front-line staff to ensure that the daily needs and operational tasks required to run the practice are met and completed.
The Patient Care Coordinator/Front Office Associate is the primary liaison between patients, the providers, and their medical staff. This is a service-oriented position where the customers are not only the patients, but also everyone who calls, visits, or communicates with the office.
The Patient Care Coordinator/Front Office Associate is critical in providing smooth patient flow through “smart” scheduling, friendly and efficient patient interaction, first-line patient education and expectation-setting, and creative and flexible changes as needed throughout the day to ensure smooth operations and fantastic patient experiences.
Education & Experience:
- Bachelor’s Degree preferred
- Experience in customer service field including, but not limited to, phones, reception, and customer service.
- Understanding of clinical operations including front desk operations, scheduling, and phone etiquette. Required to have excellent written communication skills, and to be a good listener who asks relevant questions.
- Ability to thrive in a fast-paced environment.
- Can communicate their own ideas clearly, whether talking to physicians or patients
- Excellent with people: warm, friendly, outgoing
- Extremely reliable, honest, focused, detailed, organized, able to follow directions and systems.
- Must be highly empathetic, dependable, and have immense tolerance for stress.

- Able to field calls and questions to determine the magnitude or severity of the issue or situation in order to notify the proper personnel.
Responsibilities:
- Scheduling:
- Accurately checks provider and/or laser availability to schedule patients within the proper time slots and procedures.
- Verifies to make sure the dates and time, location and provider name are clear to the patient and agreed upon as well as entered in the system.
- Advise patient of pertinent information and items needed for each appt. (including insurance cards, office visit/cancellation fees, medication, or items to avoid before procedures if applicable).
- Call Center:
- Answrs calls promptly and in a polite and professional manner.
- Work to get resolution to all calls in a timely and accurate manner.
- Obtain and enter accurate information for patients.
- Sufficiently document all conversations with patients.
- Direct calls to other departments as needed.
- Use sound judgment in handling calls regarding patient concerns, complaints, and questions.
- Understanding of when to escalate calls to physicians/practice manger/supervisor.
- Daily Tasks:
- Paperwork
- Cleaning responsibilities
- Confirmation calls
- Web inquiries and call backs
- Packaging and shipping online or phone orders
- Check patients in and out accurately and discreetly.
- Accurately charge for services and products.
- Complete the end of the day close out report thoroughly and accurately.
- Handle cash and checks properly.
- Work with back office/Medical Assistants to adjust provider schedules as needed. This includes, but is not limited to, moving or rescheduling patients, calling patients that have not arrived on time, scheduling and putting together paperwork for add-on patients/procedures.
- Other Duties: Performs other duties and assumes various responsibilities as determined by the manager.
Job Type: Full-time
Pay: $20.00 - $25.00 per hour
